02Why not an off-the-shelf tool

Ready-made gym booking systems exist and for a standard operation they are enough. Custom pays off when a spreadsheet runs beside the ready-made one — for corporate memberships, for passes with their own rules, for things that never fit its fields.

The other reason is integration. When the site, the access system, payments and accounting all have to know about the same member, the work moves from bookings to the connections between them, and there a ready-made tool usually does not help.

03Where a chatbot helps most

In a gym the questions repeat dozens of times a day and the answers are written down. The bot makes them available the moment someone asks — including in the evening and at the weekend, when the front desk is closed.

If it has an API or an export, yes. Common access and payment systems connect within days; older ones go through an export and mean a batched transfer.
Do we have to replace our whole current tool at once?
No. We suggest starting with one thing — usually member records or the chatbot — and expanding piece by piece once the first part settles.
What does it cost?
A first usable version for a smaller gym is typically €2,000 to €10,000 depending on scope. A standalone chatbot is much cheaper and works as a first step.
